How to zip and unzip files in Windows: a send-and-check workflow

Start with a clean delivery folder

Imagine sending a floor plan, a PDF note and three photographs. Copy only the intended delivery files into a folder named room-project-delivery. Open each copy and remove obvious working versions from this delivery folder. Keep the working originals elsewhere.

What ZIP does not solve

ZIP does not convert a document into a format the recipient can open. A recipient still needs compatible software. Many images and videos already use compression, so wrapping them in ZIP may produce little reduction. Ordinary ZIP creation is also not a promise of confidentiality; decide access permissions separately when sharing private material.

A clear handoff message

Tell the recipient what is inside, which document to open first, and whether anything requires a particular application. For example: “Extract the folder first, then open readme.pdf. The three JPG files are supporting images.” This small explanation prevents more confusion than an archive named final-final-2.zip.

Keep both the source folder and delivered ZIP until the recipient confirms that the expected files open.
